Approval workflow

Management → Approvals is the governed decision queue for administrators and assigned Group Owners. It provides enough context to assess risk without crowding the table.

Queue fields

  • Group name and collector count
  • Validation status
  • Requester and assigned reviewer
  • Mandatory change reason
  • Candidate version, linked to the comparison page
  • Optional label selector and resolved target count
  • Submission and expiry times
  • Current status

Use the status filter to switch between active, approved, rejected, cancelled, expired, and other terminal requests.

Assign a reviewer

Every new request requires a reviewer and a change reason of up to 1,000 characters. The requester cannot select themselves.

  • An Admin requester can select another enabled Admin or an enabled Group Owner assigned to the target group.
  • A Group Owner requester can select an enabled Admin.
  • A Group Owner can see only approval requests within their owned scope or requests explicitly assigned to them.
  • Operators and Viewers cannot access the approval queue.

FleetAMP checks reviewer eligibility when the request is submitted and again when a decision is made. A later role, ownership, or account-status change therefore cannot silently preserve obsolete approval authority. Legacy pending requests created before reviewer assignment remain reviewable by a different Admin.

Review a request

Open the version link to compare the previous and proposed configuration. Added content is highlighted in green and removed or replaced content in red. Confirm validation, editable-section policy, selector, target count, and request ownership before approving.

Only the assigned reviewer can approve or reject a new request. Approval creates an immutable deployment snapshot. Rejection requires a reason and does not change the active version. Requesters cannot approve their own changes.

The requester or any Admin can cancel a pending request, with a required cancellation reason. Cancellation is the safe way to close a request that is no longer needed; approval records are not permanently deleted.

Expiry and notifications

Pending requests expire after the configured retention period, up to 90 days. Cancelled, rejected, and expired requests remain visible and auditable rather than being deleted.

FleetAMP can notify administrators and Group Owners when a request is submitted, approved, rejected, cancelled, nearing expiry, or expired. Notification emails contain status metadata and a link to the authenticated approval page. The reviewer, full change reason, and decision comments remain in the protected request history and append-only audit log rather than being copied into raw email content.
